Event Planner Assistant
Answer telephones, make phone calls to clients and vendors for upcoming events, check voice mail and relay phone calls/messages to lean coordinators; make copies/send faxes; receive/route office mail. Enter information to data system used for new and potential clients/leads, follow up with client as necessary; search for alternate meeting/event space as necessary; inform of any event planning issues. Assist with daily event management, to include daily emails. Process payment from vendors/clients for events and invoices. Updates, copies, files event services forms as necessary. Attend required employee staff development meetings/programs. Weekend are our busiest days as most events are held on Friday, Saturday & Sunday, must be committed to be available if not for event for assistant on a as need bases, assist with set up and break down at events, assist with composing timeline for all events, assist with event designs via company software. Some heavy research involved, must have a love for fashion, trends, music, event d cor, administrative type work. The ideal person would be someone who aspires to learn as much as possible with the possibility of growth within company.

Special qualifications:

Excellent customer service skills are a must
Telephone customer service skills a must
Candidate must own their own laptop computer/tablet or I-pad (work from home option)
Ability to work with a minimum of supervision
Cooperative spirit in working with peers, supervisors, clients, and guests
Problem-solving skills in booking space and eager to learn and have fun while working.
Must be responsible and mature with professional demeanour.
Critical thinking, Reflective thinking, Effective reason.
Proficient in using Windows based computers (XP and Windows 7),
Adobe Acrobat, Adobe Photoshop,
Microsoft Office Suite (Word, Excel, PowerPoint),
Microsoft Outlook email, Outlook 365 email,
Corel WordPerfect Suite
Various electronic case management systems including iPhone/iPad
Education: Undergraduate in a program where work will be credited toward their education & future preferred.

Bilingual would be a perk!
